Can you use Kartra as a CRM like Salesforce, HubSpot, and some of the more pricey CRM out there? Yes, you absolutely can and today I want to show you how and why I think this might even be a better way of doing it.
CRM stands for customer relationship management system and from this, you can see so much about the relationship between you and your customer or leads in the Kartra CRM platform.
And depending on your needs it’s probably going to cover 80% of the population and what they need for their small business.
Kartra provides a really advanced CRM system that is comparable with enterprise platforms that I’m going to show you right now.

So let’s get right into it.

Kartra CRM Overview
To get access to the Kartra CRM system, log in or sign up to Kartra and go to the “My Communications” section inside Kartra.
And if you look at one of the leads and you click on them you get brought into this is kind of what I would call the CRM hub of Kartra.
So for a particular lead, you get all this rich data because all of Kartra analytics are bound together and integrated nicely together you get a lot of different information at a glance.
For each person’s profile, you get basic information like:
- First name
- Last name
- Country they’re coming from
- Preferred timezone
Whatever fields you ask for initially, you’ll have here in this profile.
Kartra will assign them a username. If they’re referred by an affiliate, that information would be here as well.
- Customer Value
You’ll also see the customer value, which means how much has that person spent with you
And you can then create automations where if they purchase more than let’s say $100 from you you can add them to a different epsilon of our a different list or a different tag and again all that would be visible here.
- Score
And you have some scoring capabilities, and also tells you when they basically came into your world.
If you’re doing a point system which I think is really cool, every time they open an email they might earn some points and so you can see their score value there as well.
- Tags
Next, you have all the tags that have been assigned to this person and you could even add tags if you wanted to.
Like a CRM you want to be able to keep a note running with each of your leads to kind of know what’s going on with the lead in the process.
And so if you have a team and you’re working through a lot of different big-ticket deals where you really want to work with each person individually this note section can be huge.
You don’t need to have a Google Doc or a Trello board or anything like that you can simply go off of this.
Lists
So then, there’s another section inside of the profile that will show you all of the lists the person is on.
So, all the email lists that the person is on inside of your Kartra system will be right here.
If you wanted to add them to a list, you could do that very easily, where you could just pick a list and add them. If you wanted to remove them from a list, you could do that here.
Communications
And then it has a communication section.
So, inside the communication section, it shows you every single email and communication that you’ve sent to that person.
It also shows you whether they opened it or not and if they clicked on anything.
And the revenue associated with that email.
You can also see a preview of the email where it shows you what was actually sent to them.
In short, this section allows you to:
- Send emails
- Capture leads
- Communicate with your clients
Sequences
Then the next section is sequences and this will tell you what sequences this person is a part of, and it also tells you what step they’re at.
It tells you what they’ve subscribed if they unsubscribed, and you could also add them to a sequence or you could stop them and remove them from a sequence.
Memberships
Memberships will tell you if this person is a part of any of the memberships that are set up via Kartra CRM.
And if you want us to add them or remove them you could do it right in here.
If you wanted to resend their log-in details for the membership, you could do that as well.
Calendar
And then it also has a section for their appointment.
Inside of Kartra, there’s a calendar booking system, so if the person has booked any appointments that you have set up via the calendar, all of that information, the dates that they’ll be meeting with you, and or anything that they’re scheduled for is right in here.
If you wanted to add them to a calendar, you could do that right over here.
Transactions
Here you will see anything that they’ve purchased from you.
For example, if you try to bill them but the rebill failed all that is in here.
Log
And then it has a log, so basically like this is a log of all of the touchpoints, every single thing that has occurred related to this person.
So you can see not just like what they’ve clicked on but you can see every page they’ve visited, every video they’ve played, or for example in a video if they watch to the end you can add a tag to them inside Kartra Video.
You’d be able to see that in the timeline in the breadcrumb trail of that entire customer’s journey so everything here is pretty awesome
This helps you in terms of your communications with people, if there’s a customer service issue, or if they have a question, like this literally manages their account, this is customer relationship management.
Helpdesk
Then lastly how often do you actually get to see all the individual communications in the tool itself.
So the back-and-forth that tickets, the helpdesk, the support chat.
So, if they submitted any tickets, or if they had any issues, or they made any calls or sends some emails via your helpdesk which you can have with Kartra.
And all that information would be here and it’ll tell you the status, the ticket number and what it was about.
It can be hugely helpful for you if you run with a team if you have support personnel if you want to be able to have people handle your refunds.
Even if have people handle your client outreach or closing sales Kartra could be that solution for you to simplify some things.
Remove some costs of SalesForce and some of the more heavyweight CRM systems out there and still achieve what it is that you need to achieve.
So, all of these things are things that Kartra allows you to do.
Kartra CRM Pricing
Kartra pricing features 4 options:
- Starter plan – $99 a month
- Silver plan – $199 a month
- Gold plan – $299 a month
- Platinum plan – $499 a month
Kartra also offers a 14 day trial for just $1.
And Kartra CRM capabilities are available even on the lowest plan, meaning you can start for as low as $99 a month or pay annually which will cost you $79 a month.
On the Starter plan you’ll have access to:
- 2,500 leads
- 1 custom domain
- 15,000 emails a month
- 20 products
- 1 helpdesk
So that’s pretty much all you need to manage a small business.
And then if you upgraded to the silver plan, you would be paying as little as $149 a month when billed annually.
And it basically turns almost everything into unlimited.
You can have 3 domains, that’s the one that is kind of as a nuance that’s limited.
But I will tell you from experience that if you added a fourth domain, they’re only going to charge you incrementally for that fourth domain and it’s actually cheaper than upgrading to the next plan.
And you can have up to 12,500 leads. And when you have a little over those leads, they will charge you incrementally, but it can also be more affordable than upgrading to the next plan.
But if you wanted to upgrade to those next plans, you can see that gold and platinum are really for businesses at scale, and utilizing many more custom domains.
But at their second level, their silver plan, they start to unlock a lot of unlimited potential for you.
And the thing that I truly love is unlimited bandwidth and unlimited videos, unlimited products, unlimited membership areas. It allows us to be innovative without having to worry about incremental pricing as we go.
Kartra CRM Alternatives
Kartra has a very solid CRM system but there are going to be shortcomings or fallbacks if you compare it to a dedicated CRM system.
Here are some of the Kartra alternatives:
- HubSpot
- SalesForce
- ActiveCampaign
- GoHighLevel
- ZohoCRM
Both are great solutions but many of them are really expensive compared to Kartra.
The most powerful CRM system is HubSpot but it is also the most expensive.
